Privacy Policy

Hopar’s Christian Family Center, Inc. (HCFC)
Effective date: October 15, 2026

This policy explains how HCFC handles information collected through this website, program intake forms, and communications with our organization.

Information we collect

When you contact us or complete an intake form, we collect the information you choose to provide, such as your name, email address, telephone number, ZIP code, preferred language and contact method, program interests, and a brief description of your request. Depending on the program, you may also provide a child’s age, household size, or desired start date. We record the time and reference number of each submission and your permission to be contacted.

Our website and hosting providers may process basic technical information, such as IP addresses, browser information, and request logs, to operate the website and maintain security. Staff review of new inquiries takes place in the authenticated Wix dashboard. We do not ask families to upload medical records, financial account numbers, or other sensitive documents through these initial intake forms.

How we use information

We use information to review requests, contact you, explain program availability, coordinate intake and appointments, provide services or appropriate referrals, and maintain program records. We also use necessary technical information to protect the website and resolve problems. An intake submission is not a guarantee of services or enrollment.

Sharing and service providers

Access to intake information is limited to authorized personnel who need it for HCFC’s work. Providers that host our website, store information, authenticate staff, process donations, or deliver communications may process information to perform those services. We may disclose information when required by law or to address safety or protect legal rights. We seek your permission before sharing intake information with another organization for a referral unless a legal obligation or other applicable legal basis permits disclosure.

Mobile numbers and text-message consent

HCFC does not sell or share mobile phone numbers or SMS opt-in and consent information with third parties or affiliates for their marketing or promotional purposes. Text-message consent is used only for the HCFC texting program to which you agreed. Messaging providers may process this information solely to deliver and support HCFC’s messages, not for their own marketing.

Providing your telephone number on an intake form does not by itself enroll you in a recurring text-message program. Text messaging requires separate consent. You may withdraw text-message consent by replying STOP. For help, reply HELP or email info@hoparcfc.org. See our Terms of Use for messaging details.

Donations and external services

Donation buttons open Zeffy, which handles the donation transaction under its own policies. HCFC’s website does not collect your payment card information. Information handled by external websites and services is also subject to their privacy policies.

Embedded CarePortal content

Our website includes care requests supplied by CarePortal. When this content loads, your browser connects to CarePortal and may send technical information such as your IP address, browser details, and the page you are visiting. Information you submit through CarePortal, including its organization page or kiosk, is handled by CarePortal under its own privacy practices. HCFC intake forms are separate from CarePortal’s forms.

Retention and security

We retain information for as long as needed to respond to requests, administer programs, meet applicable recordkeeping obligations, and resolve concerns. We use access restrictions and reasonable safeguards, but no website or electronic transmission can be guaranteed completely secure. Please keep initial inquiries brief and share sensitive details only through a method agreed with our team.

Functional browser storage

The Wix intake form stores a visitor authentication token in your browser so it can communicate with Wix Forms. This functional storage supports form operation; it is not an SMS opt-in or permission for marketing.

Your choices and requests

You may contact us to ask about your information, request corrections or deletion, or change your communication preferences. We may need to verify your identity and may retain information where required by law or necessary for legitimate recordkeeping. Opting out of texts does not prevent you from requesting support through other available channels.

Children’s information

Initial intake forms are intended for adults, including parents and guardians requesting support for children. Please do not submit a child’s sensitive personal information through these forms. If you believe a child submitted information without appropriate permission, contact us so we can review the situation.

Policy updates and contact

We will post policy changes on this page and update the effective date. Questions or privacy requests may be sent to info@hoparcfc.org, addressed to Hopar’s Christian Family Center, Inc., Rochester, New York.
